Responsibilities:
- Ensures full administrative support to the office;
- Controls the orders transport tickets, taxis, hotels for employees and orders for visitors;
- Handles travel MD’s reports and allocates payment for transportation and accommodations for employees;
- Provides mobile voice service management;
- Organizes and controls the payment process to suppliers for administrative services;
- Ensures fleet management (administration of the process of servicing company cars and ensure compliance of company cars management to group requirements though leasing provider);
- Assists management and head office, carrying out all kind of administrative instructions;
- Organizes the office, supplies equipment and stationery, supervises maintenance services;
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement;
- Coordinates requested measures and papers for work security and fire protection in the offices;
- Schedules meetings and conference rooms, organizes paperwork and document flow at the reception;
- Organizes internal events (example: Total summer event, Christmas event, …);
- Ensures the organization of seminars, language training. Takes care of related contracts, invoices and issues reports;
- Takes administrative care of expatriates coming, leaving and during their stay in Ukraine;
- Prepares presentations, reports, projects;
- Acts as HSEQ Manager (implementation of group guidelines regarding health, safety, environment, quality).
Requirements:
- Higher education;
- Minimum 1 years of work experience in similar position;
- English: at least intermediate level, both written and oral;
- French: Intermediate level would be a +;
- Experience in passing internal audits will be an advantage;
- Knowledge of Word, Excel, Outlook, Teams, ect.;
