    Foreign company — a leading multinational oils and lubricants producer, announces a competition for the position of Procurement and Administration Specialist, Kyiv.

    Responsibilities:

    • In coordination with all other departments (Finance, Marketing, Logistic and others), manages the purchases with the aim to optimize: Logistic costs (transportation, storage, stock handling and broker fees) and fixed operational costs (excluding payroll);
    • Ensure all purchases are correctly tendered and the relevant documentation correctly stored;
    • Together with the User formalizes the requirements for each purchase and find possible participants;
    • In collaboration with Finance department ensures that purchasing is made in conformity with all Group requirements;
    • In collaboration with Finance department ensures the purchasing is carried out in respect of budget limits, limiting the impact of pre-payment on the affiliate and maximizing the deductibility of costs;
    • Ensure accuracy and completeness of documentation, required by the group, including but not limited to tender register, contract register, call for tenders, due diligence documentation, contracts and addendums;
    • Enforce all services are supplied according to existing contracts, according to delegation for purchasing to other service under the limits set by internal and Group procedures, supports the tender from purchase requisition till reception of goods / services, including contract signature process;
    • Ensure the proper follow up of purchase requisitions and the posting of purchase orders;
    • Validate that payments and goods & services are in line with tender
    • Ensure good relationships are maintained with the main suppliers and oversee purchasing negotiations;
    • Communicate with the Corporate Purchasing services for all relevant requirement of reporting;
    • Administrative support of the company activities;
    • Other tasks assigned by the Management.

    Requirements:

    • Higher education;
    • Minimum 2 years of work experience in similar position;
    • English: at least Upper Intermediate level, both written and oral;
    • Experience in passing internal audits will be an advantage;
    • Willingness to quickly acquire new information;
    • Ability to make decisions independently and work autonomously;
    • The ability to systematize information, proactivity, attention to details.
